Who it’s for

Real estate CRM system without switching software

A realtor’s day is calls, viewings and chats. A portal lead arrives by email, a website lead through a form, an Instagram lead in DMs — and by evening some of them are lost in your phone. A client who didn’t hear back in time is already viewing an apartment with another agent.

You don’t have to install new software. If you already work in a CRM, I connect the automation to it. If not, you can start with a Google Sheet: a simple database of clients and properties anyone can open from their phone.

It fits a solo realtor, a small agency, a developer’s sales team, and anyone who rents out property, including short-term rentals, or works with commercial real estate.

Different scale

CRM for a solo realtor and for an agency

Same logic. The difference is how many people work with the database.

Solo realtor

  • All leads and properties in one sheet on your phone
  • The day’s viewings in Telegram every morning
  • Lease agreement from lead data, no retyping
  • Reminders about lease endings and follow-up calls

Small agency

  • A lead goes to the realtor who handles the property
  • One client never ends up with two agents
  • Lead and viewing report to the manager in Telegram
  • Works in your CRM, if you already have one

Specifics

Realtor CRM system: what runs by itself

The things that eat your evenings now: retyping a lead, reminding about a viewing, filling in a contract, pulling a report for the owner.

The lead remembers the property

The client record holds not just a phone number, but the property they asked about and the source: portal, website or Instagram. You see which listings bring people in.

One client — one record

A buyer asked about three apartments from different sources — in the database they’re one person with all three properties. A colleague won’t call them a second time about the same thing.

No double-booked viewings

A viewing is logged with address and time. The day before, the client gets a reminder, and in the morning the realtor gets a list of the day’s viewings in Telegram.

Lease agreement from the lead

Party names, property address, term and amount go straight into your contract template. All you do is check and sign.

Property report for the owner

How many leads and viewings each property got this week — a ready sheet in Telegram every Monday. You have an answer when the owner asks how the sale is going.

Never miss a lease ending

When a lease is about to end, you get a reminder: time to ask the tenant if they’re renewing, or to look for a new one.

What’s included

Real estate agency automation: what you get

Every lead in the database with property and source

Website, Instagram, portal or a call: wherever they came from, the lead lands in your CRM or Google Sheet, and the realtor handling the property gets a message in Telegram.

Your CRM stays

Already use a CRM? The automation connects to it — nothing to change. No CRM? You can start with a Google Sheet as a simple database of clients and properties.

Alerts to the right realtor

A lead on a property goes to whoever handles it, not to a shared chat where nobody picks it up.

Voice notes and emails sorted into fields

AI reads a portal email or a client’s voice note: name, phone, budget, area — and fills in the record itself.

How I launch

How I set up the automation: four steps

All I need from you: show me how leads, properties and contracts move today.

  1. Walking through your day

You tell me where leads come from, where you track properties and viewings, which contracts you fill in. That shows what repeats every day.

  2. The lead’s path

I map the flow: website or portal — database — realtor in Telegram — viewing — contract. You approve it before launch.

  3. Testing on live leads

The automation runs alongside you on real inquiries until the records in the database match what you’d enter by hand.

  4. Launch

I switch it on and show you where to check the log and how to change the contract template or the lead routing rule on your own.

Price on request

The price depends on how many lead sources you have, whether you have a CRM, and how many documents are filled in from templates. I’ll name the exact amount after our first conversation — and it won’t go up after that.

Questions

Questions about real estate CRM

Does a real estate agency need a separate CRM?

No. If you already have a CRM, the automation connects to it, and leads land there on their own. If not, you can start with a Google Sheet as a simple database of clients and properties.

How does a lead from a property portal get into the database?

If the portal sends leads by email, the automation reads the email, splits the name, phone and property into fields and puts them in your CRM or sheet with a source tag. The realtor gets a message in Telegram right away.

How do viewing reminders work?

A viewing is logged with the date, time and property address. The day before, the client gets a reminder in their messenger, and in the morning the realtor gets a list of the day’s viewings in Telegram.

How is a lease agreement filled in automatically?

Your lease template is filled in with data from the lead and the property record: parties, address, term, amount. You check and sign — no retyping fields by hand.

Will this work for short-term rentals or commercial real estate?

Yes, if your work runs on leads, viewings or check-ins and template documents. Reminders and templates are set up around the way you work.

How much does a realtor CRM with automation cost?

I quote the price personally after our first conversation — and it won’t go up after that.

What should I prepare for our first conversation?

A list of places your leads come from, your lease template, and the sheet or CRM where you track properties now. If you have none of these, just tell me how your workday goes.

Message me — I’ll handle it.

I’ll reply as soon as I can.
