CRM for agencies and studios
CRM for agencies doesn’t mean buying new software: I connect automation to your CRM or Google Sheet. Briefs, stages, sign-offs and client reminders run on their own.
Just write — I’ll take it from there. I’ll estimate your task at no cost.
Who it’s for
At an agency or studio, clients rarely come in “just to buy.” First there’s a request in DMs or by email, then a brief, agreeing on scope, several revision rounds, materials that trickle in for weeks, and payment in installments. When all of this lives in message threads and in a manager’s head, projects get lost between stages.
I don’t sell my own CRM. If you already work in one, I connect automation to it. You don’t have to install a new one: I pick the tool for the task. If you have no CRM, I put your projects in a Google Sheet that works on both your phone and your computer. Notifications come to you on Telegram.
It fits marketing, advertising and event agencies, web studios and IT companies doing client work, photographers, photo studios and designers. If you work alone, the flow is the same, just without extra people in the chain.

Two options
For you the result is the same: briefs, stages, documents and reminders run on their own. The only difference is where the data lives.

What’s special about this niche
An agency lives on projects, not one-off sales. So the automation is built around stages, revisions and client materials.
DMs, email, Telegram, the form on your site — a request from any channel lands in one project with a source tag. You see the whole conversation with the client, not fragments.
The project record shows which revision round you’re on and what’s already approved. When a client asks for “one more small thing,” you see how many there have already been.
For event agencies and photographers, reminders are timed from this date: the client gets them about materials and payment, you get them about the week’s upcoming events.
Prepayment, stage payment, final payment — the sheet shows what came in and what didn’t. Due date passed — the client gets a polite reminder, you get a message.
Logo, texts, photos, logins — the links sit in the project record, not in five chats. The designer doesn’t ask the manager where to find a file.
What’s included
A client fills in the brief on your site or sends a DM — the answers land in your CRM or sheet as a separate project. Your manager no longer copies them over from chats.
Brief, concept, revisions, delivery — each project in its own row with a status. You see who’s waiting on you and who’s waiting on the client.
Client, service, amount and dates are pulled from the project record. Mark a stage as delivered — the sign-off is already filled in.
A client is dragging their feet on the logo, texts or photos — they get a reminder. Same for stage payments. No more typing “just a reminder” by hand.
Live demo
This is working code, not a picture. Send a request and you’ll see where it lands and who finds out.
How it works
We start with one ordinary project: how it goes for you today, from the first message to the sign-off.
You tell me how work goes now: where requests come from, where the brief lives, who you remind about what by hand. A voice message works too.
I map the project’s path from brief to sign-off: stages, statuses, when a reminder goes out, when a document is built. You see it all before launch.
I take a few of your current projects and run them through the automation alongside your usual work. I fix any mismatches before launch.
I switch it on in your accounts and show you how to add a new stage, status or document template yourself, so you don’t wait for me over a small thing.
Questions
No, an agency doesn’t have to buy a separate CRM. If you already have one, I connect automation to it; if not, projects, briefs and stages are kept in a Google Sheet, and notifications come to you on Telegram.
Yes, a photographer or photo studio needs the same as an agency: shoot date, prepayment, client reminders and a contract from a template. For one person the sheet is simple, with no extra fields.
You choose the reminder text, when it goes out and how many times it repeats. If the client still hasn’t replied, it comes back to you as a Telegram message.
Your contract and sign-off templates are filled in from the project record: client, service, stage, amount, dates. No more retyping fields by hand for every studio client.
I’ll name the exact price after our first talk — and it won’t go up after that. The amount depends on how many channels requests come from, how many stages a project has and how many document templates you need.
Just tell me how one typical project goes from the client’s first message to the sign-off: where requests come from, where the brief lives and what you remind people about by hand. A voice message is fine.
