CRM for gyms and studios
CRM for gyms and fitness studios without new software: I connect automation to your CRM or Google Sheets — trial classes, memberships, reminders, winning clients back.
Just write — I’ll take it from there. I’ll estimate your task at no cost.
What it is
In a gym, yoga or dance studio, every client follows the same path: DMs you about a trial class, comes in, buys a membership, attends, then quietly disappears. Often the admin tracks these steps by hand — in chats, a notebook and from memory. That’s exactly where people get lost.
You don’t have to install new software. If you already have a CRM for your club, I connect automation to it, and leads land there on their own. If you don’t, I pick a tool for the job — the simplest is Google Sheets you open on your phone. Notifications go to you and your trainers on Telegram.
It fits fitness studios and sports clubs, yoga, dance schools, swimming pools, sports classes and schools — anywhere with a trial class, a membership and a group schedule.

Who it’s for
The process is similar, but different people write to you — and the messages should sound different.

What I automate
Each card is a separate step. Start with one and add the rest later.
A trial request from DMs, the website or a call lands in your database tagged with its source. The person gets a confirmation with the time and address, the trainer gets told who’s coming.
The day before, a message: group, time, room. If they reply “can’t make it,” the admin sees it right away and can offer the spot to someone else.
The next day the person gets a short question about how the class went, plus membership options. No reply? You get a reminder to call them.
A few classes left or the end date is near — the client gets a reminder to renew. You get a list of everyone whose membership ends this week.
A client hasn’t checked in for a few weeks — the automation spots it in your database and sends them a message from the studio. You get a list of who to call.
Every Monday on Telegram: how many trial classes, how many bought a membership, whose membership is ending and who hasn’t come in a while.
What you get
Who came to a trial, who bought a membership, whose membership is ending — all in one place. Open it on your phone and see everything — no piecing it together from chats.
A new lead, a client cancelling a class, a client who didn’t renew — a Telegram message goes to the person it concerns, not to a group chat.
Filled in from the lead’s details. For kids’ clubs — with the child’s name and a parent’s contact, no retyping by hand.
The database, workflows and access are yours from day one. If the schedule or membership rules change, you update them in one place.

This is working code, not a picture. Send a request and you’ll see where it lands and who finds out.
How we start
All you do is tell me how a client gets from a trial class to a membership.
How you book trial classes, where you track memberships, who reminds clients. A voice message works.
From lead to membership renewal: what happens by itself and what stays with the admin. You see the map before launch.
Reminders and leads run in parallel with how you work now, until you’re sure nothing gets lost.
I switch it on and show the admin and trainers where to look. Access stays on your accounts.
Questions
A new CRM for your gym isn’t required. If you already have club software, I connect automation to it, and leads and reminders run through it; if not, I pick a simple tool, such as Google Sheets.
A small dance or yoga studio is often fine with Google Sheets: you see clients, groups and memberships, and you can open it on your phone. Reminders and Telegram notifications work just as they do with a CRM.
The automation checks your CRM or spreadsheet for who hasn’t attended in a while or didn’t renew their membership. Those clients get a message from the studio, and the owner gets a list of who to call.
Automation fits both a sports school and a kids’ club: reminders go to parents with the child’s name and group, and the trainer gets their group list on Telegram. Groups by age or level are kept separately in the database.
Trial class requests land in your CRM or spreadsheet tagged with where the person came from: Instagram, the website, Telegram or a call. At the same time, you or your admin get a Telegram notification.
I’ll name the exact price of fitness studio automation after our first call, and it won’t go up after that. The price depends on the number of steps and on what the automation connects to: your CRM or a spreadsheet.
For the first call about studio automation, just name the software you use for clients now, if any, and briefly tell me how a person gets from a request to a membership. I’ll ask about the rest myself.
